Title Administration and Finance Officer
Hours Part-time (0.5 – 0.6 FTE = 19 – 24 hours per week, depending on competencies)
Salary $68,600 per annum (pro-rated to 0.5 – 0.6 FTE), plus 9.5% super
Days of work Tuesday to Friday (9.30 am – 2.30 pm Tu-Thur; 9.30 am – 1.30 pm Friday, some occasional after-hours and weekend work)
PhotoAccess is the ACT’s centre for contemporary photography, film and video and media arts. Established in 1984, we are today a dynamic member-based visual arts association dedicated to the making, sharing and investigation of photographic culture. We work to foster a vibrant, inclusive and and nationally significant community of local photo-media arts practitioners and aim to foster visual literacy, cultural expression and social connection throughout our region.
Based at the Manuka Arts Centre in inner Canberra, PhotoAccess presents each year an engaging program of exhibitions and publications featuring local, national and international artists engaged in high-quality contemporary photographic practice; a significant program of artist residencies; over fifty public workshops and events encompassing technical, conceptual and creative skills and outreach programs connecting with local schools and community groups. PhotoAccess hosts the ACT’s only publicly accessible darkroom and is steadily developing a significant digital photography lab. Into the future, we will be building our retail operation, launching substantial new partner projects and expanding and diversifying our audiences.
PhotoAccess’ program is developed and delivered by a small staff team, collaborating with our wonderful Members, a dedicated Board and an extended network of organisations and individual artists and contractors. Working together in a smallish office, the staff team tends to function as a hive mind and the atmosphere is lively, chatty and sometimes super-busy. Every week is different, encompassing tasks as diverse as working with artists on their next show, introducing new Members to the organisation, planning major projects, preparing a grant acquittal, discovering where to purchase obscure photographic materials and cleaning the gallery in preparation for an opening.
ABOUT THE ROLE
We’re looking for a confident, mature and highly organised Administration and Finance Officer who will enjoy managing our office, facilities, shop, projects and finances. You’ll work closely with the Director and the Program, Engagement and Studio Officers to help ensure the smooth operation of all aspects of our organisation, including managing day-to-day financial processes and liaising closely with our contract bookkeeper, ensuring we’re up to date with reports, acquittals and compliance requirements, keeping the Manuka Arts Centre precinct in good repair and spick and span, contributing to development and delivery of our exhibition, workshop and event programs, helping manage our making spaces and building great relationships with our Board Finance Committee, grant agencies, project partners and our Members and audiences.
For this role, you’ll need excellent administration, accounts management, customer service and communication skills. You’ll be someone who is proactive and self-driven and manages your time well. You’ll be at home in a small team and dedicated to ensuring that everything runs smoothly to plan, but also understanding of mistakes and able to adapt when life don’t go as expected. You’ll need some knowledge of and experience in a similar role in a visual arts organisation, and your interest in – or even passion for – photography and the photo-media arts would be a plus.

Ideally, PhotoAccess is looking for someone with all the above, including skills and experience using QuickBooks software. If you don’t have QuickBooks skills, then you must be prepared to learn how to use this software for day-to-day and annual financial and payroll management and reporting. In this situation, we’ll appoint you first at 0.5 FTE (19 hrs/week) and invite you to develop QuickBooks proficiency in your own time. We’ll cover the cost of any required QuickBooks training. Once you can demonstrate adequate QuickBooks skills, we’ll increase your hours to 0.6 FTE (24 hrs/week).
